BUSINESS OFFICE ASSISTANT

ESSENTIAL FUNCTIONS:
Administrative Support to Deputy Director:
o Manage incoming calls and relay urgent messages promptly
o Calendar access: Schedule meetings, act as a liaison to Deputy Director's Calendar
o Sort mail and manage signature files
o Preparation and assistance for Board meetings, including summary of minutes
o Draft correspondence

Human Resources Support:
o Administrative support from filing to independent projects

o Document audit and collection
o Organization and upkeep of applicant submittals

Copy Room Responsibilities:
o Take initiative to maintain a well-stocked copy room by ordering general supplies, including postage, shipping, and equipment supplies
o Clean and organize copy room to create an orderly environment (daily)
o Troubleshoot office equipment and make timely service calls to keep machines in good working condition

Back-Up Accounting Support:
o Back-up accounts payable data entry when needed

KNOWLEDGE, SKILLS AND EXPERIENCE:
Ability to prioritize, take initiative and exercise good judgment; highly organized with an eye for detail, ability and discretion to handle proprietary information. Must have excellent customer service, interpersonal and communication skills as well as strong computer skills in MS Word, Excel, and Outlook. EA and office administration experience required, general accounting and 10-key touch preferred. May require traveling to the downtown location.

MEMBERSHIP MANAGER

JOB SUMMARY: Reporting to the Director of Development, the Membership Manager is responsible for significantly increasing Membership with a focus on acquisitions and retention. The Manager will plan, implement, and direct a broad-based Membership program which will increase individual and family support in Member and Contributor levels from $75 to $4,999.

The successful candidate will have a proven track record in broadening constituencies within a cultural environment with the ability to translate the strategic objectives into high quality Membership programs.

ESSENTIAL FUNCTIONS
o Plan, implement, and administrate Membership program to meet annual goals.
o Work with the Director of Development to develop new Membership categories and determine realistic yearly revenue goals.
o Develop and implement fundraising and sales strategies that target an appropriate audience and increase revenue and Membership base through mail, phone, onsite, and Web sales.
o Direct the development, writing, and production of promotional and fundraising Membership brochures, letters, and other materials that effectively support the philosophy and mission of the Museum.
o Monitor Membership acquisition campaign progress to ensure that goals are met and that strategies are adjusted as needed.
o Initiate and maintain relationships with donors.
o Direct all operational activity of the Membership program in a manner that adheres to the annual expense budget.
o Develop and administer the annual expense budget.
o Ensure accurate and timely processing of new and renewed Membership tracking and campaign activity and reports.
o Develop office policies and procedures for the Membership program that result in an efficient and effective system.
o Determine ongoing staffing needs for the department.
o Respond to questions or concerns from Museum constituency and staff regarding Membership.
o Serve as Membership department representative on cross-functional Museum teams.

KNOWLEDGE, SKILLS AND EXPERIENCE
o 4+ years experience in development, Membership sales. or relationship marketing including proven management experience in a multi-faceted program.
o Minimum B.S or B.A. degree and general knowledge of art history; interest and knowledge in contemporary art is desirable.
o Demonstrated writing ability including excellent spelling, grammar, and editing skills; effective business and persuasive writing styles.
o Excellent verbal communication skills and the ability to build effective professional relationships.
o Ability to interact with Board of Trustees, high-level contributors and Membership constituency.
o Ability to deliver with limited resources.
o Effective organizational skills and the capacity to simultaneously handle multiple activities with changing priorities.
o Must have ability to effectively work with people in a team environment.

DATABASE COORDINATOR

JOB SUMMARY: Under the supervision of the Membership Manager, the Database Coordinator oversees and maintains Member, donor, and prospect records in the constituent computer database.

ESSENTIAL FUNCTIONS
o Works with Membership Manager in overseeing/maintaining Member, donor, prospect records in Raiser's Edge. Works in conjunction with other Museum departments to maintain up-to-date database.
o Responsible for compiling lists for all major mailings: VIEW newsletter, event invitations, direct mail, renewals, etc.
o Works with Membership Assistant in processing development income (including Membership, individual and corporate contributions, and special event sales) in Raiser's Edge and depositing income with Accounting.
o Responsible for processing Internet transactions on a weekly basis from Raiser's Edge
o Compiles Development Income Report: ensure accuracy of development income by reconciling income received by Membership with Accounting on a monthly basis.
o Responsible for maintaining and updating donor recognition on donor boards and VIEW donor listing, working with Corporate and External Affairs to ensure accurate information.
o Assists Membership Manager on executing direct mail campaigns and processing of new Members in timely fashion.
o Assists Membership Manger with overseeing monthly process of Membership renewal letters and analyzing of renewal success.
o Assists with ongoing Member relations (phone/e-mail inquiries)
o Staffs Museum events on an as-needed basis
o Performs other duties as assigned

KNOWLEDGE, SKILLS AND EXPERIENCE
o Minimum B.S or B.A. degree and general knowledge of art history; interest and knowledge in contemporary art is desirable.
o Experience with databases, particularly Raiser's Edge, is necessary.
o Accounting experience is a plus.
o Proficient in Microsoft Word and other basic Microsoft Office applications a must.
o Effective team player.
o Ability to juggle multiple tasks while adhering to deadlines.

MUSEUM STORE SALES CLERK

POSITION DESCRIPTION: The Museum Store Sales Clerk welcomes visitors to the Museum Store, sells admissions, provides customer service and support.

ESSENTIAL FUNCTIONS:
o Performs opening & closing procedures
o Secures deposits and selected merchandise in locked areas
o Performs daily and other periodic Store maintenance: shelving, cleaning, restocking, and updating displays
o Receives goods upon delivery

SECURITY SERVICES REPRESENTATIVE

The Museum of Contemporary Art San Diego (MCASD) is currently seeking a qualified security professional to function as a Security Services Representative (SSR) assigned to the La Jolla and Downtown sites.

POSITION DESCRIPTION:

o Responsible for performing interior patrols of Museum galleries
o Ensure Museum visitors adhere to company policy to preserve the collection and prevent theft or damage
o Ensure that daily security reports are preformed properly
o Impart knowledge of Museum exhibitions, events, and of the surrounding area to patrons
o Respond to any emergency events (e.g. medical emergencies, natural disasters, etc.)
o Additional duties may include exterior facility patrols, vehicle escort after hours, and general Museum opening/closing procedures

POSITION REQUIREMENTS:

o Excellent verbal and written communication skills, along with strong organizational skills and planning ability
o Excellent customer service skills; maintain professional demeanor in challenging, dynamic environment
o Ability to perform crowd control by providing clear guidance and direction
o Must be detail-oriented and have the ability to work with minimal supervision
o MS Office (Word, Excel, Outlook, Power Point) preferred
o CPR/FA/AED Certification is preferred, but training will be provided
o Must have a flexible schedule
o Ability to walk/stand for extended periods of time, climb stairs/stoop/kneel in order to perform security duties

EVENT TECHNICIANS

Museum of Contemporary Art/Sherwood Auditorium seeks part-time, on-call Event Technicians. Must have fundamental stage lighting, sound reinforcement, power PowerPoint presentation, and other audio/visual experience. Experience working various special events required including lectures, concerts, weddings, film, audio/visual, various performing arts and receptions. An interest or knowledge of contemporary art and or performing arts a plus.

Candidates must possess excellent customer service & communication skills in order to interact diplomatically with community members; deal appropriately with clients and vendors for event services.
